Job Summary: The Executive Assistant is responsible for administrative support and a variety of activities for the CEO, as well as supporting interactions with our Chinese owners and Board members at Cenbest and Sanpower.  This role will work with confidential information on a regular basis. Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and representing upper management using discretion on their behalf. Heavy reporting and use of excel and power point using advanced office skills and knowledge of organization's policies and procedures.

Responsibilities

  • Collects and prepares information for use in discussions/meetings of staff and outside individuals.
  • Schedules and arranges meetings and logistics including travel for national meetings.
  • Prepares presentation materials for meetings and other events.
  • Makes high-level contacts of a sensitive and critical nature inside and outside the company.
  • Coordinates activities between departments and outside parties.
  • Maintains controlled or departmental documents.
  • Standard reports monthly, quarterly, yearly.
  • Calendar management.

Scope

  • Uses professional concepts and company policies and procedures to solve a variety of problems.
  • Works on problems of moderate scope in which analysis of situation or data requires a review of identifiable factors. Exercises judgment within defined procedures and practices to determine appropriate action.
  • Exercises independent judgment in developing methods, techniques and evaluation criteria for obtaining results.
  • Acts independently to determine methods and procedures on new assignments and may provide guidance to lower-level personnel.

Qualifications

 

  • 7 or more years of related experience.
  • Bachelor’s degree or the equivalent.
  • Post-graduate coursework, professional certifications preferred.
  • Proficient in MS Office applications.
  • Must be able to maintain high level of confidentiality.
  • Must be able to multi-task and be adept to technology such as remote conferencing technologies (Zoom, Webex, Skype, MS Teams, etc), mobile applications, and various infrastructure systems (Procurement, AP, HR, etc).
  • Must be able to utilize independent judgement, and execute project-based work such as cultural events, rewards & recognition, executive events, etc.
